Terms & Conditions
1. Interpretation
1a. MCA refers to Medical Conferences Australia Pty Ltd, and encompasses AMPED Medical Conferences, AMPED Emergency & Medical Conferences, AMPED Integrated Medical Conferences, and Niseko Mental Health Conferences, including all staff and agents.
1b. “Event” means any conference or workshop organised by MCA. “Registrant” or “delegate” means any person who has paid a registration fee to attend an MCA event.
2. Event Registration
2a. Registration entitles a delegate to attend all academic sessions and social functions of the relevant event.
2b. Early Bird Accommodation Deals are exclusively reserved for confirmed, paid registrants. Each Early Bird room must have at least one paying registrant staying in it.
2c. Registration must be paid to MCA within 7 days of an Early Bird room being booked and confirmed by SkiJapan.com. SkiJapan.com may cancel the accommodation booking if payment is not received within this timeframe.
2d. MCA will make every reasonable effort to deliver the programme as advertised but is not liable if individual topics or speakers cannot be included.
3. Cancellation and Refund Policy
3.1 Cancellation by the Registrant
3.1a. All cancellation requests must be made in writing to MCA. The cancellation date is the date that the registrant issues a written cancellation request.
3.1b. If you register more than 90 days before the event commencement date, you may cancel and receive a 50% refund of the registration fee paid.
3.1c. Once the event is 90 days or less from the commencement date, the registration fee is non-refundable under any circumstances — even if you book on the same day.
3.1d. No refund is available for non-attendance, late arrival, or early departure.
3.2 Travel Insurance
All registrants are strongly advised to purchase comprehensive travel insurance immediately upon booking that covers all outlays associated with attending the conference, including flights, accommodation, activities you may engage in, medical expenses for injuries, personal liability, and loss of belongings.
Consider a “Cancel for Any Reason” (CFAR) upgrade, as this may provide cover for the registration fee in the event of cancellation. MCA is not responsible for any claims, losses or liabilities arising from the trip or conference, and our refund policy applies regardless of any insurance payout.
4. Cancellation or Changes by MCA
4a. MCA reserves the right to cancel, postpone, or modify any event. If MCA cancels an event, registered delegates will receive either a full refund less an administration fee of AU$150 or a credit note/voucher for a future MCA event, at MCA’s sole discretion. MCA is not liable for any other costs delegates may have incurred, such as flights or accommodation.
4b. MCA may change speakers, topics, venue, or programme at any time. These changes do not entitle delegates to a refund.
5. Force Majeure and Unforeseeable Events
MCA shall not be liable for any failure, delay, or cancellation of the event resulting from circumstances beyond its reasonable control (a “Force Majeure Event”), including but not limited to war, terrorism, civil unrest, geopolitical issues, acts of God, natural disasters, pandemic, epidemic, disease outbreaks, government restrictions, travel bans, border closures, strikes, or any other event beyond MCA’s reasonable control.
This includes situations where a delegate considers travel unsafe due to government travel warnings or advisories. In the event of a Force Majeure Event, MCA has no obligation to provide any refund, credit note, voucher, or other remedy to delegates. All such risks are borne entirely by the delegate and are best managed through comprehensive travel insurance, including a “Cancel for Any Reason” (CFAR) upgrade where available.
6. Liability
6a. Delegates attend MCA events and all associated activities entirely at their own risk. MCA is not liable for any personal injury, loss, or damage — whether direct, indirect, or consequential — howsoever caused, including activities outside of formal event hours.
These Terms and Conditions are governed by the laws of New South Wales, Australia, are subject to change without notice, and the version in force at the time a cancellation request is received applies.
